AI Coaching on Aircall Calls: How Koachly Works

Getting AI coaching on Aircall calls requires one browser extension and about five minutes of setup. Koachly detects when a call starts in the Aircall web app, streams the live audio for analysis, and displays coaching tips in a panel beside your call window without interrupting the conversation. There is no separate recording configuration, no Aircall admin changes required, and no data stored after the call closes.

This guide covers every step from confirming your Aircall setup through to what reps see during a coached session. If you are evaluating whether live coaching is right for your team before going further, the live coaching feature overview explains the full capability.

Confirming Your Aircall Configuration

Koachly works by reading audio from the browser tab that runs the Aircall web app. That means calling must be browser-based: your reps need to log into Aircall at phone.aircall.io using Chrome or Edge, not through the Aircall desktop application. If your team currently uses the desktop app, they can switch to the web version without losing any call history or contact data.

No Aircall API key or admin configuration is needed. Koachly does not connect to Aircall's back end; it only reads the audio the browser tab is already playing. Aircall's own transcription or coaching features, if your plan includes them, run independently and are not affected by Koachly running in the same tab.

Extension Setup and Account Connection

Install the Koachly extension from the Chrome Web Store or Edge Add-ons store, then click the extension icon and sign in with your Koachly credentials. The extension scans open tabs for known calling platforms and highlights Aircall as a supported site automatically. A small status badge on the icon confirms the platform has been detected.

The first time a call starts in the Aircall tab, Chrome or Edge will ask whether Koachly can access audio from that tab. Click Allow. This permission applies only to the tab-level audio stream; Koachly cannot access your microphone directly, your file system, or any other browser tabs. The permission persists across sessions, so you only grant it once.

For teams, each rep connects their own Koachly account through the extension. Manager dashboards and team-level reporting sit in the Koachly web app, not inside Aircall. Seat pricing and team plan details are on the pricing page.

The Coaching Panel During an Aircall Session

Once a call begins, the Koachly coaching panel slides open on the right side of the screen. The panel listens to both sides of the conversation and generates tips based on what is being said. If a prospect says they are happy with their current provider, Koachly may surface a question designed to explore pain points rather than push a feature pitch. The tip appears as a short line, intended for a two-second glance rather than reading mid-sentence.

Talking pace is also tracked. When a rep has been speaking for an extended stretch without giving the prospect space, the panel flags the talk-to-listen ratio. Keeping that ratio balanced is consistently one of the strongest predictors of a successful discovery call. The talk-to-listen ratio guide has benchmarks by call type if you want to set team targets.

Key insight: Reps who receive in-call coaching prompts on objection handling close at a higher rate than those who only review calls afterwards, because the behaviour change happens in the moment rather than being deferred to the next call.

Post-Call Scoring for Aircall Sessions

When the Aircall session ends, Koachly generates a call score covering questioning quality, objection handling, pacing and whether the call ended with a clear next step. The score appears in the Koachly dashboard within a few seconds. Managers can view scores for the whole team without needing to listen to recordings or ask reps for self-assessments. The call score page explains how each dimension is calculated.

The post-call view also shows a timeline of which coaching tips fired during the session and whether the rep's behaviour shifted after each prompt. That context makes one-to-one coaching conversations more specific. Instead of discussing habits in general terms, a manager can reference exact moments. The sales coaching guide has a framework for structuring those conversations week to week.

Fixing Common Aircall Detection Problems

If the Koachly panel does not appear when a call starts, the most likely cause is that calls are running through the Aircall desktop application rather than the browser tab. Open phone.aircall.io in Chrome or Edge, sign in, and make a test call. The extension can only access audio from browser tabs, not from native apps installed on your computer.

If the panel opens but shows no coaching tips, check that the audio permission was granted. Click the Koachly extension icon and look for a permissions warning. If the permission was not granted or was revoked, navigate to chrome://extensions, find Koachly, and re-enable site audio access. Reload the Aircall tab and start a fresh call to confirm the fix.

A third scenario is the panel appearing on the wrong monitor when reps use dual screens. Drag the panel to the preferred position; Koachly remembers its placement for subsequent calls. For any other issues, reach out through the Help section in your Koachly dashboard.
