    Export from your current tool

    Download a CSV export from Gong, Chorus, tl;dv or any other tool you are leaving. Koachly accepts standard export formats — transcripts, contact lists, call metadata.

  2. 02

    Upload to Koachly

    Go to Settings → Import and drag in your CSV. Koachly maps the columns automatically — names, emails, companies, call dates, existing notes. Review the mapping before confirming.

  3. 03

    Koachly processes the import

    Contacts are created or merged with existing records. Call history is indexed and made searchable. Historical notes appear in each contact timeline.

    Start coaching on live calls

    Your history is in. New calls go through the full Koachly coaching flow from day one — live tips, scores, CRM sync — built on top of the historical context you brought over.

What is included

Everything bulk import & migration ships with

  1. CSV import for contacts

    Import your full contact list with company, role, phone and email — no manual data entry. Standard CSV from any CRM or export tool is accepted.

  2. Historical call search

    Imported call transcripts (where available) are indexed and searchable immediately after import. Find a call from eight months ago as easily as one from yesterday.

  3. Merge with existing contacts

    If a contact already exists in Koachly (from a previous import or a live call), the imported data merges rather than duplicates. No manual dedup required.

  4. Data validation before commit

    Koachly validates the import file and shows you errors before committing any data. Bad rows are flagged with a reason — fix them or skip them before the import runs.

  5. Large file support

    Bulk imports handle thousands of contacts and hundreds of calls in a single upload. Progress runs in the background — no timeout, no browser hang.

  6. Import history and rollback

    Every import is logged. If an import created duplicates or mapped columns incorrectly, you can review the import log and roll back the affected records from settings.

Questions about bulk import & migration

Koachly accepts standard CSV exports from any tool. We have tested import flows specifically with Gong, Chorus, tl;dv, Fathom, Otter and standard CRM contact exports from Salesforce and HubSpot. If your tool exports CSV, it will work.

Koachly imports transcripts (text), call metadata (date, duration, participants) and contact data from CSV. Raw audio or video recordings from another platform are not imported — storage and format compatibility vary too widely across tools.

Koachly validates the file before committing any data. Rows with missing required fields or format errors are flagged in a pre-import review screen. You can fix the file and re-upload, or skip the bad rows and import the valid ones.

Koachly accepts import files up to 50MB per upload. For larger datasets — for example a full CRM export with tens of thousands of contacts — split the file into batches and run them sequentially. Each batch is processed independently.
