The Koachly Pipedrive integration closes the loop between what happens on a call and what gets recorded in your CRM. Every call score, coaching summary, and agreed next step syncs to the right deal in Pipedrive automatically the moment the call ends. Reps do nothing extra, and managers see coaching performance alongside pipeline data in the same system they already work in.

What the Koachly Pipedrive integration syncs

Koachly writes structured call data to Pipedrive after every coached session. The sync runs automatically — there is no manual step for the rep, no copy-paste, no note to remember to add before end of day.

After a call ends, Koachly creates a completed Activity on the associated Pipedrive Deal. The activity includes a call summary covering what was discussed, any objections raised, and the next step the rep committed to. It is a structured note, not a transcript, so it takes under 30 seconds to read.

Koachly also writes custom deal fields: talk-to-listen ratio, call duration, and the call score for that session. These can be used in Pipedrive filters and reports, making it possible to segment your pipeline by coaching quality. See the full field list on the Pipedrive integration page.

How to connect Koachly to Pipedrive in under five minutes

The connection uses Pipedrive's OAuth flow. You need a Pipedrive account with admin access and a Koachly account on any plan, including free.

  1. Open Koachly settings. Go to Settings → Integrations → Pipedrive and click Connect.
  2. Authorize in Pipedrive. You will be redirected to Pipedrive's login page. Sign in and click Allow to grant Koachly read access to Contacts, Persons, and Deals, and write access to Activities and Deal fields.
  3. Configure field mappings. Koachly pre-fills default mappings for the most common Pipedrive setups. If you have custom deal fields for coaching data, map them here instead of the defaults.
  4. Set contact matching rules. Koachly matches calls to Pipedrive records by email address or phone number. Choose what happens when no match is found: create a new Person, or queue the call for manual review.
  5. Test the connection. Make a short call through Koachly. Within a couple of minutes, an Activity should appear on the associated Deal in Pipedrive.

Once connected, the integration runs silently for every future call. There is nothing for reps to enable on a per-call basis.

Pre-call context from Pipedrive

The integration is not one-directional. Before each call, Koachly pulls context from the associated Pipedrive Deal: the current pipeline stage, last activity date, any open notes, and deal value. This context feeds the live coaching engine so tips during the call are relevant to where the deal actually sits.

A rep about to make a discovery call on a fresh lead gets different live prompts from one heading into a late-stage negotiation. The pre-call pull from Pipedrive is what makes that distinction automatic rather than requiring the rep to manually select a call type before each session.

Deal stage context also affects the post-call summary. Koachly highlights different elements depending on where the deal is, so a first-touch summary focuses on qualification signals while a closing-stage summary surfaces commitment and next-step quality.

Using Koachly call data in Pipedrive reports

Coaching scores written to custom Deal fields can be used in Pipedrive's reporting and filter tools. A straightforward use case: filter all open deals by coaching score on the last call to identify which reps need support and which deals are moving confidently toward close.

Talk-to-listen ratio is another useful field. Deals where the rep is talking more than 60 percent of the time consistently perform worse at close. Having that figure in Pipedrive means it can be included in deal reviews without anyone having to pull a separate report from a coaching tool.

For Pipedrive users who have connected the CRM to Slack or email workflows, Koachly's deal fields can trigger downstream actions. For example, an Activity note from a high-scoring call can automatically prompt a manager mention, or a low score can add a follow-up task to the Deal. What is possible depends on the automations your team has already configured in Pipedrive.

Who benefits most from the Pipedrive integration

The integration is useful across the whole team, but the impact lands differently depending on role. SDRs benefit most from the automatic logging: high-volume prospecting calls get documented in Pipedrive without any effort, and managers get accurate activity records without needing to audit what was actually logged.

AEs running longer deal cycles benefit from the deal-level history. Every call is a data point: what was discussed, how the rep handled pressure moments, whether a firm next step was confirmed. When a deal stalls, the call history in Pipedrive gives context that the pipeline stage alone does not.

Sales managers get coaching data alongside pipeline data in the same view. That combination, call score and deal progress in one place, makes it easier to identify whether a deal is struggling because of the prospect's situation or because the rep needs coaching on a specific skill. The call scoring features page covers how scores are calculated and how to configure scoring rules for your team's playbook.

Koachly's Pipedrive integration is available on all plans, including free. Setup takes under five minutes and runs automatically after that. Start free and have the first coached call synced to Pipedrive before end of day.
