Sales teams using HubSpot as their CRM often end up with an incomplete picture of what actually happens on calls. Deals move through stages, notes get added, but the texture of the conversation — how the rep handled objections, whether they listened, what the prospect actually said — rarely makes it in. Koachly's HubSpot integration changes that by writing structured call data into HubSpot automatically, without asking reps to do anything extra.

What syncs between Koachly and HubSpot

Koachly pulls context from HubSpot before each call and pushes call outcomes back when the call ends. The sync is bidirectional and happens automatically — reps don't interact with HubSpot during or after the call.

Before a call, Koachly reads the associated Contact's HubSpot record: deal stage, last contact date, any open notes, and lifecycle stage. This gives the live coaching engine context to work with during the conversation — for example, surfacing different tips for a first discovery call versus a late-stage negotiation.

After a call, Koachly writes the following to HubSpot:

  • A completed Call activity on the Contact record, with a structured summary
  • Talk-to-listen ratio and call duration as contact properties
  • Coaching score — written to a custom contact property that can be used in HubSpot workflows
  • Key topic flags (pricing discussed, objections raised, next step committed)
  • An optional follow-up task, assigned to the rep who made the call

All of this is visible in the HubSpot contact timeline without any additional configuration. The HubSpot integration page lists the full set of properties Koachly can write to, including custom properties you define yourself.

Setup in 3 steps

The integration is designed to take less than ten minutes to configure. You need HubSpot admin access and a Koachly account — any plan, including free.

  1. Authorize the connection. In Koachly, go to Settings → Integrations → HubSpot and click Connect. You'll be taken through HubSpot's OAuth flow. Sign in with your HubSpot admin account and approve the requested scopes: reading contacts, writing activities, and creating tasks.
  2. Configure field mappings. Koachly provides default mappings for the most common HubSpot setups. You can adjust which HubSpot properties receive which Koachly outputs — for example, if you have a custom "Last Coaching Score" property, you can map Koachly's score to that field instead of the default.
  3. Set contact matching rules. Koachly matches calls to HubSpot contacts by email address or phone number. Configure which field takes priority and what should happen when no match is found (create a new contact, or queue for manual review).

Once connected, the integration runs silently in the background. No rep action required — the next call they make through Koachly will sync to HubSpot automatically. See contact management features for more on how Koachly handles contact data across integrations.

Call outcomes in HubSpot deals

HubSpot's deal pipeline is most useful when the activities tied to each deal reflect what actually happened in conversations. With the Koachly integration, each call is logged as a completed activity on any associated Deal, not just on the Contact record.

The call activity includes a summary structured around what sales managers actually want to know: what stage the conversation was at, what objections came up, whether a next step was confirmed, and how the rep performed against your playbook. This replaces the blank "had a call" log that reps typically create manually — or forget to create at all.

Coaching scores written to deal properties can feed into HubSpot workflows. For example, you can build an automation that moves a deal to "Needs Review" when the coaching score on the last call falls below a threshold, or sends a Slack notification to a manager when a rep hits a new personal best. The possibilities depend on what HubSpot workflows your team already uses.

For teams tracking deal velocity, having consistent, structured call data in HubSpot makes it possible to segment deals by coaching quality and identify where in the funnel coaching gaps are costing you. This is harder to do when call data is scattered across notes or missing entirely. Learn more about what's possible with the sales team solutions Koachly offers.

Who benefits most: SDRs vs AEs

The HubSpot integration is useful for both SDRs and AEs, but in different ways.

SDRs benefit most from the contact enrichment and automatic logging. SDRs typically make a high volume of short calls and are least likely to update HubSpot consistently. With Koachly, every prospecting call is logged without any effort from the rep. Managers get visibility into SDR activity levels and coaching performance without having to chase updates or audit HubSpot data quality.

The live coaching tips during SDR calls help new reps stay on script, handle early objections, and pick up on buying signals they might otherwise miss. Over time, SDRs who use Koachly develop better instincts — the live nudges train good habits, not just one-time fixes.

AEs get more value from the deal-level logging and coaching score history. For longer sales cycles, having a clear record of every call — including what was discussed and how the rep handled it — helps AEs prepare for follow-up calls and helps managers coach on specific moments in the deal. When a deal stalls, the call history in HubSpot gives context that "we had a good call last week" doesn't.

AEs also benefit from the pre-call context Koachly pulls from HubSpot. Walking into a call with the current deal stage, last activity, and any open notes visible in Koachly means less time reviewing the CRM and more focus on the conversation itself.

Koachly connects to HubSpot in three steps, runs silently after that, and is available on the free plan. It gives sales teams accurate call data in HubSpot without adding work for reps — and gives managers coaching visibility alongside pipeline data in the same system they already use.
