Connecting your sales coaching platform to Salesforce closes the gap between what happens on a call and what gets recorded in your CRM. Koachly's Salesforce integration means reps spend less time on manual data entry and managers get a cleaner picture of call quality alongside pipeline data — in the same place they already work.
What syncs between Koachly and Salesforce
Koachly pushes call data into Salesforce automatically after each session ends. The sync covers the fields that matter most for sales operations without cluttering your CRM with noise.
After a call, the following are written to the associated Contact or Lead record in Salesforce:
- Call duration — total time on the call
- Talk-to-listen ratio — the rep's share of speaking time
- Coaching score — a composite score based on how well the rep followed the playbook during the call
- Key topic flags — moments where pricing, competition, objections, or next steps were discussed
- Call notes — a structured summary written to the Activity log on the record
- Follow-up task — optionally created on the Contact or Opportunity based on call outcome
On the Koachly side, contact data from Salesforce is pulled in to give the rep context before the call — account name, deal stage, last activity, and any open tasks. This gives the live coaching engine more signal to work with during the conversation. See the full list of synced fields on the Salesforce integration page.
How to connect Koachly to Salesforce (OAuth steps)
The connection is set up once by an admin. It uses Salesforce's standard OAuth 2.0 flow — no API keys to manage, no custom code required.
- Open Koachly settings. Navigate to Settings → Integrations → Salesforce.
- Click Connect. You'll be redirected to Salesforce's login page. Sign in with an account that has API access — a System Administrator profile works, though a dedicated integration user with the minimum required permissions is the better practice for production environments.
- Authorize the connection. Salesforce will ask you to allow Koachly access to read and write to Contacts, Leads, Activities, and Opportunities. Review the permissions and click Allow.
- Map your fields. Back in Koachly, you'll see a field mapping screen. Match Koachly's output fields to the Salesforce fields you want them to write to. Default mappings are pre-filled for the most common setups.
- Test with a live call. Make a short test call through Koachly. Within two minutes of hanging up, check the Contact record in Salesforce — the activity note should appear.
If your org uses a custom Salesforce domain (common in enterprise accounts), enter it in the connection settings before clicking Connect. The developer documentation covers advanced configuration including sandbox environments and permission sets.
What gets logged after each call
Every call creates a completed Activity in Salesforce. The activity subject follows a consistent format — "Koachly Call — [Rep Name] — [Date]" — which makes filtering and reporting straightforward.
The activity description contains a structured summary: topics covered, any objections raised, and the agreed-upon next step if the rep captured one during the call. This is different from a raw transcript — it's an organized summary that sales managers and AEs can scan in 30 seconds.
Coaching scores are written to a custom field on the Contact or Lead. You can include this field in Salesforce reports to correlate coaching performance with deal outcomes over time. The contact features page explains how Koachly enriches contact records and what data is available for reporting.
If Koachly can match the call to an open Opportunity (by Contact association), it also logs the activity against the Opportunity, so deal history stays complete without the rep having to do anything manually.
For teams that use Salesforce automation rules or flows, Koachly's call data can trigger downstream actions. For example, a rule can auto-advance a deal stage when a coaching score exceeds a threshold, or assign a follow-up task to an SDR after a discovery call. The automation features page covers what's possible here.
Common questions
Does Koachly record calls in Salesforce automatically, or does the rep have to do something?
Automatic. Once the integration is live, logging happens in the background after every call. Reps don't touch Salesforce during or after the call.
What happens if the contact doesn't exist in Salesforce yet?
Koachly attempts to match by email or phone number. If no match is found, the call data is queued and flagged for review. You can then manually associate it with a record, or Koachly can create a new Lead — this behaviour is configurable in settings.
Does the integration work with Salesforce sandboxes?
Yes. You can connect to a sandbox environment for testing by specifying your sandbox domain in the integration settings before authorizing.
Is Koachly a managed package in Salesforce?
No. Koachly connects via the Salesforce REST API and writes to standard objects. There is nothing to install in Salesforce itself — no AppExchange package required.
What Salesforce editions are supported?
Any edition with API access — Professional (with API add-on), Enterprise, Unlimited, and Developer editions. Essentials does not include API access and is not compatible.
Koachly gives sales reps real-time guidance during calls — without a bot joining the conversation. Live tips appear on the rep's screen based on what's being said, and everything logged to Salesforce after the call reflects how that guidance played out. The Salesforce integration is available on all Koachly plans, including the free tier. Start free and connect your Salesforce org in under five minutes.
