How to Use Koachly With Zoom: Live Coaching Setup Guide

How to set up the Koachly browser extension on Zoom, enable Share Tab Audio and get live coaching tips on every Zoom sales call.

Zoom is the most widely used platform for sales calls, and Koachly is built to work alongside it without disrupting how your team already operates. No bot joins the meeting. No second window to manage. Reps see live coaching tips on their screen while the Zoom call runs as normal — the prospect sees nothing different.

This guide walks through the complete setup from installing the browser extension to getting the best results on live calls.

Install the Koachly browser extension

Koachly's live coaching works through a browser extension that runs in Chrome or Edge. It monitors audio from your active call tab and surfaces tips in a small overlay on your screen — invisible to the other participants.

To install:

  1. Visit the Koachly Zoom integration page and click the link to the Chrome Web Store (or Edge Add-ons for Edge users).
  2. Click Add to Chrome (or Get for Edge) and confirm when prompted.
  3. Once installed, click the Koachly icon in your browser toolbar and sign in to your Koachly account. If you don't have one yet, you can create a free account from the sign-in screen.
  4. On the extension settings screen, select Zoom Web Client as your primary platform. This tells the extension where to listen for audio.

The extension does not require any changes to your Zoom account settings at this stage. Installation takes under two minutes.

Enable Share Tab Audio in Zoom

This is the step most users miss, and it's the reason live coaching fails to work on first attempt. Zoom runs in your browser tab, but by default the browser treats that tab's audio as system audio that extensions cannot access for analysis. You need to enable Share Tab Audio so that Koachly's extension can hear what's being said.

Here's how to do it:

  1. Join or start a Zoom meeting using the Zoom web client (app.zoom.us) in Chrome or Edge — not the Zoom desktop application.
  2. Once in the meeting, click Share Screen in the Zoom toolbar.
  3. In the share dialog, select the Chrome Tab option (not "Entire Screen" or "Window").
  4. Select your current Zoom tab from the list.
  5. At the bottom of the dialog, check the box labelled Share tab audio.
  6. Click Share.

You don't need to actually share your screen with participants — you can stop the screen share immediately after starting it. The important part is that enabling Share Tab Audio gives the browser permission to pass audio from that tab to extensions, which is what Koachly needs.

Once you've done this once, the browser remembers the permission for that tab session. You'll need to repeat it at the start of each new Zoom meeting. This is a browser security requirement, not a Koachly limitation.

Start a Zoom call with live coaching

With the extension installed and tab audio enabled, starting a coached Zoom call is straightforward.

  1. Open Koachly in a separate browser tab or window. Navigate to your active playbook — this is the set of coaching rules that will run during the call. If you haven't configured a playbook yet, Koachly's default general sales playbook will run.
  2. Join your Zoom meeting via the web client.
  3. Enable Share Tab Audio as described above.
  4. The Koachly extension icon in your toolbar will turn green to indicate it's actively listening.
  5. As the conversation progresses, coaching tips appear in the Koachly overlay. Tips are triggered by keywords, topic transitions, and patterns in the conversation — for example, a tip to slow down if you've been talking for more than two minutes straight, or a reminder to confirm a next step when the conversation starts wrapping up.

Tips appear on your screen only. The prospect cannot see them. There is no bot in the call, no AI voice, and nothing that changes what the prospect experiences. More detail on what triggers coaching tips and how to configure them is on the live coaching features page.

Troubleshooting common issues

The extension icon stays grey during my Zoom call.
This usually means tab audio sharing was not enabled. Make sure you're using Zoom's web client (not the desktop app), and that you completed the Share Tab Audio step at the start of the call. If the icon is grey despite doing both, try refreshing the Zoom tab and re-enabling tab audio.

Tips aren't appearing even though the extension is active.
Check that your playbook has active rules configured. If you're using the default playbook, make sure it hasn't been paused in Koachly settings. Also verify that the call language matches the language setting in Koachly — tips won't fire if the language detection doesn't match.

Koachly works on some Zoom calls but not others.
This is almost always the Share Tab Audio permission. It needs to be re-enabled at the start of every new Zoom meeting session. Consider building the habit of enabling it as the first thing you do when you join a call.

I'm using the Zoom desktop app, not the web client.
Koachly's browser extension can't access audio from the Zoom desktop application directly. You can either switch to the Zoom web client for coached calls, or use Koachly's system audio input method, which is available in Settings and works with any application including the desktop app.

The prospect can hear an echo or feedback.
This is not related to Koachly — it's a microphone or speaker issue. Koachly reads audio; it doesn't introduce any audio into the call. Use headphones to eliminate feedback loops.

See the live coaching help docs for a full troubleshooting reference and contact options if these steps don't resolve the issue.

Tips for best results

Getting the most from Koachly on Zoom calls comes down to a few habits that experienced users consistently mention.

Customize your playbook before the call. The default playbook is a starting point. Teams that configure playbooks around their specific product, common objections, and sales methodology see significantly more relevant tips during calls. Time spent on the playbook pays back quickly.

Keep the Koachly overlay in your peripheral vision. Positioning the overlay in the corner of your screen — away from the main Zoom window — means tips are visible without being distracting. After a few calls, checking the overlay becomes a natural part of the conversation rhythm.

Review your call summary after the call. Koachly generates a post-call summary with the moments where tips fired and whether you acted on them. Reviewing this after calls helps reps understand their patterns and improve faster than post-call review alone.

Use it on internal calls first. New users often benefit from testing Koachly on an internal practice call before their next live prospect call. This lets you experience the tip overlay in a low-stakes environment and make any adjustments to placement or playbook settings.

Koachly works with Zoom, Google Meet, and Microsoft Teams, and is free to start. Live coaching tips appear on your screen during the call — no bot, no second participant, no disruption to the conversation. Start free and have your first coached Zoom call set up today.
