This guide covers how to use Koachly with Microsoft Teams from installation through your first coached sales call. Koachly runs alongside Teams through a browser extension that shows live coaching tips on your screen during the meeting. The other participants see nothing different: no bot joins the call, no AI voice, and nothing changes in how Teams looks or functions for the prospect.

Install the Koachly browser extension for Microsoft Teams

Koachly's live coaching works through a browser extension running in Chrome or Edge. It monitors audio from your active Teams tab and surfaces tips in an overlay on your screen during the call.

To install:

  1. Visit the Koachly Microsoft Teams integration page and follow the link to the Chrome Web Store or Edge Add-ons store.
  2. Click Add to Chrome (or Get in Edge) and confirm the prompt. The extension icon will appear in your browser toolbar.
  3. Click the Koachly icon and sign in. You can create a free account from the sign-in screen if you do not have one yet.
  4. In the extension settings screen, select Microsoft Teams as your primary platform.

Installation takes under two minutes. No changes to your Microsoft 365 admin settings or Teams app permissions are needed at this stage.

Use Teams in the browser, not the desktop app

Koachly's browser extension can only access audio from Teams when it is running in a browser tab. The Teams desktop application runs as a separate process that browser extensions cannot reach.

To use Teams in the browser: open teams.microsoft.com in Chrome or Edge. If Teams tries to open the desktop app automatically, click the option to Use the web app instead on the Teams landing page. Sign in with your Microsoft 365 account and join or start meetings from the browser.

If your organization requires the desktop app for meetings, Koachly has an alternative: system audio input mode, available in Settings, which captures audio from any application on your computer including the Teams desktop app. This requires a slightly different configuration but works for organizations with desktop app requirements.

Enable tab audio sharing in Microsoft Teams

This is the step that prevents Koachly from working on the first attempt for most new users. Browser security prevents extensions from reading a tab's audio by default. Enabling tab audio sharing grants that permission for the active meeting tab.

Here is how to enable it at the start of each Teams call:

  1. Join or start your Teams meeting in the browser.
  2. In the Teams meeting controls, click Share.
  3. In the sharing dialog, select Chrome tab or Browser tab (depending on your browser version).
  4. Select your current Teams tab from the list.
  5. Check the box labelled Share tab audio at the bottom of the sharing dialog.
  6. Click Share. You can stop the share immediately if you do not want to present your screen to participants. The permission to access tab audio stays active for the duration of the browser tab session.

You will need to repeat this step at the start of every new Teams meeting. The permission resets when the tab is closed. It takes about ten seconds once you have built the habit.

Running your first coached Teams call

With the extension installed and tab audio enabled, starting a coached call is straightforward.

  1. Open Koachly in a separate browser tab before the meeting. Navigate to your active playbook. The playbook controls what coaching tips appear during the call. If you have not set one up yet, the default sales playbook will run.
  2. Join your Teams meeting in the browser.
  3. Enable tab audio sharing as above. The Koachly extension icon will turn green to confirm it is active.
  4. As the conversation develops, tips appear in the Koachly overlay on your screen. Tips fire based on conversation patterns — for example, a prompt to ask a discovery question if the meeting has been in one-sided presentation mode for too long, or a reminder to confirm a next step when the conversation begins to wrap up.

The overlay is visible only on your screen. Details on what tips are available, how to configure them, and how to build playbooks for your team's specific sales motion are on the live coaching features page.

Troubleshooting common issues

The extension icon stays grey during my Teams call.
This almost always means tab audio sharing was not enabled, or was enabled but the Teams tab was refreshed after the fact. Repeat the steps above. Confirm you are using Teams in the browser (teams.microsoft.com) and not the desktop application.

Live tips are not appearing even though the icon is green.
Check that your active playbook has rules configured and has not been paused. Also check that the conversation language in Koachly matches the language being spoken on the call.

My organization blocks browser extensions.
Some Microsoft 365 environments apply Intune or Group Policy controls that restrict browser extensions. If extensions are blocked for managed browser profiles, use Koachly's system audio input mode instead. Your IT administrator can confirm whether extension restrictions apply.

The screen share option is not appearing in Teams.
Some Teams meeting policies controlled by your organization's admin disable screen sharing for participants. If the Share button is greyed out, contact your Teams administrator. As an alternative, system audio input mode does not require screen sharing permissions.

The live coaching help docs cover additional troubleshooting steps and contact options if the above does not resolve your issue.

Getting the most from Koachly on Teams calls

The setup steps above get Koachly working. Getting it to produce genuinely useful tips consistently comes down to the playbook. The default playbook is a reasonable starting point, but playbooks configured around your product's specific objections, your qualification framework, and the common deal stages your reps encounter make tips far more relevant. Time spent on playbook configuration early pays back across every future call.

After each call, Koachly produces a summary that includes which tips fired, how the conversation scored against your playbook, and an overall call score. Reviewing this after every coached call, even briefly, gives reps and managers a clearer picture of where coaching is needed. It takes about two minutes and produces better outcomes than reviewing a transcript.

Koachly works with Microsoft Teams, Google Meet, and Zoom, and is free to start. Live coaching tips appear on your screen during the call, with no bot and no disruption to the meeting the prospect experiences. Start free and have your first coached Teams call running today.
